Enadoc at 100: Transforming Organizations through Digitization

Tech One CEO Lars Jeppesen and COO Wasantha Weerakone started advocating digital transformation (Dx) over two decades ago. During this time, the duo started thinking of a way for businesses to have seamless and efficient digital workflows perfect for the modern workplace. Cue Enadoc—developed initially as a secure vault for digitized documents. Now with over 100 clients in 7 countries, it has evolved into a complete enterprise content services platform product.

“Digital transformation has three stages: First is digitization, which is fixing the past—it’s about collecting paper-based information and making digital copies. Next is digitalization which focuses on the present. Once documents have been digitized, we now make workflows paperless. This then leads to digital transformation—where you create the future. At this stage, you leave manual and paper-based workflows behind and start executing them in digital ways,” Jeppesen explains.

This three-step process is perfectly addressed by Enadoc’s unique features: Data capture and indexing, records management, search, security and compliance, safe storage, and disaster recovery capabilities. But this solution isn’t just for big companies. Its subscription-based model is a budget-friendly option that levels the playing field for businesses of all sizes.

“With Enadoc being cloud and subscription-based, implementation is simple and easily scalable. Organizations can simply start implementing it in one department and move on to the next, and the next. You can easily add more capacity—it’s completely elastic,” Jeppesen adds.

The rise of cloud technology inspired Lars and Wasantha to go full blast towards digital transformation.

“We knew that cloud computing was coming, and with that the barrier of entry for most organizations would go away. Data centers and big servers normally required to do the heavy lifting—in other words, the playing field for adapting an enterprise document management solution was leveled. With an experienced team around content services, it was just logical to go to that direction,” Weerakone shares.

Enadoc was designed as an adaptive DMS. “We’ve always positioned Enadoc on its own as a pure document management solution. But combining that with SharePoint, you certainly get a much more fluid solution that can solve business processes. We can integrate it not just with SharePoint but also with SAP, other ERP tools, Salesforce—other software and apps that clients are using. It is a solution that you can have up and running in a few minutes if used as a standard solution, but it can also be very complex when integrations are added to the equation,” he adds.

With Enadoc, clients from different sectors—banking, manufacturing, public sector, construction, and many more—have been transformed. Now they’re running smoothly with effective yet cost-effective workflow integrations, like loan origination systems, contracts management tools, project management workflow, and citizen services across Asia.

Companies who have been operating on manual, paper-based workflows often find the idea of scrapping the old system and switching to a new, digital one a bitter pill to swallow. But this evolution brought by digital transformation is inevitable, especially with how the world is changing and the dangers that accompany it. Organizations need to adapt, knowing disasters—both natural and man-caused—are just around the corner. To thrive in the current market, proper document management, cloud technology, and data analytics must be observed.

Most companies do not have backups for their physical files, making post-disaster recovery almost impossible—and costly—for them.

“Lost or damaged data, leakage, poor compliance to regulatory standards, and lack of control over access to information and cost-effectiveness in storage can result in serious harm for businesses,” Jeppesen expounded.

“This reality has created a demand for [finally] disrupting the current landscape of the workplace. Digitization and digital transformation were once hard to reach, now we are part of the motion to make it accessible for all organizations,” shares Weerakoone.

Each of the 100 Enadoc customers has unique stories that depict how digital transformation disrupts current organizational landscapes. They serve as a testament on how this solution can help businesses retire paper-based processes and move them to digital workflows which are safer and faster to deliver results.

“Our most notable clients are those we’ve worked with from the very beginning. These are customers who’ve quickly expanded partnerships with us by acquiring our other IT solutions,” Weerakoone comments. This showcases a wonderful business relationship rooted in a mutual understanding of the digital era.

A great example is a digitization project Tech One had with a real estate company in the Philippines. Landco Pacific Corporation (LandCo) had a huge problem with the paperwork for their sales and operations, they had to lease a 400-square-meter warehouse to be occupied just by paper files. This inefficient system also affected their internal collaboration as retrieving the needed files for department-specific purposes was a tedious task for employees.

Enadoc came in to address the problem by digitizing and storing all the files in the cloud. Before, it took them 1-2 weeks to retrieve documents they needed. Now, they can access files in only 10 minutes.

This solution was tied in with the implementation of Office 365 to streamline their internal collaboration, making their processes prompt and more accessible than ever.

Tech One also helped a well-known, Sri Lanka-based brewery company that had challenges with their manual vendor processes and contracts management. These issues have put their customer services and legal compliances at risk, along with high vulnerability to disasters and cyberthreats.

The solutions provider pitched in a SharePoint-based automated procurement system which was then integrated with Azure and their existing Enterprise Resource Planning (ERP) solution. Enadoc linked these systems to secure a smooth automated process. Enadoc Legal was also implemented to give them a designated document management solution for the contracts.

This automation saved them 95% of developmental cost and is now being used by 75% of the employees to process 100 payments a day. Enadoc is now also used across the company, creating seamless workflows for department-specific processes.

“By adhering to the system, we’ve eliminated a lot of process delays. The solution was simple and easy to understand, and what we have implemented is an end-to-end solution which allows integration with multiple business applications within our organization and to seamlessly operate without manual intervention;” shared by the CIO of the said brewery.

This endeavor opened future solution implementations such as Enadoc Zen, a Robotic Process Automation (RPA) and more seat consumptions for Office 365 and SharePoint.

Enadoc may have reached its 100-customer mark but there’s no stopping the evolution of this solution to transform more businesses and organizations of all sizes. The minds behind this ingenious, modern solution are passionate to get its 101st client more than ever.

“Reaching this milestone is far more fulfilling, knowing that the effort we’ve put in to get here is beyond numbers. It’s a great milestone but that won’t make us content. It won’t stop us giving our 100% efforts to improve Enadoc and to forerun digital transformation in South Asia,” he expressed.

“The next step now is for us to evolve into an RPA (Robotic Process Automation) with Enadoc Zen towards automation and more integration with business processes. With Enadoc Zen, same as Enadoc, at the outset, it can be a very simple solution, but the number of possible configurations and customizations you can do in the backend—you can make it complex as you want it to be,” Jeppesen concludes.
